CONSULTATION
CONSULTATION PERFORMING AND VISUAL ARTS CENTRE/COMMUNITY GROUP FACILITY AND CARPARKING – Council resolution 04 August 2003. The report of the Community Centre Working Party, received by the Queenstown Lakes District Council in August, outlined the next steps in the consultation process and stressed the importance of continued community involvement in this project. Feedback received since the report was released, included a recommendation that an arts and cultural advisor be engaged to provide expert advice on the range of such facilities and on the concept design. The Council now proposes the following consultation programme for the period September 2003.  | Early September - engage suitable person or persons to provide advice on arts and cultural facilities. |  | Early September – write to the original 19 user group submitters, Destination Queenstown, NZSO, NZ Ballet, Christchurch Symphony, Dunedin Sinfonia and Creative New Zealand and invite them to comment on this draft document and register meeting times for interviews with the architect and the arts and cultural advisor during October. All of these groups have been sent a copy of the original report. |  | Early September – hold more in depth discussions with Ngai Tahu and seek their involvement and participation. |  | September – also write to groups not included above but that have registered their interest or are identified in recommendations to the draft, including: Citizens Advice Bureau, Qnet and Commerce Queenstown. If acceptable include these groups in the consultation round for a joint meeting. |  | Mid October – individual structured interviews with local user groups, the architect and the arts and cultural adviser (as appropriate or performing and visual arts groups). Meeting notes will be taken particularly recording outcomes and circulated as a draft to attendees for checking/correction/ internal group feedback. |  | Mid October – joint meeting with other local groups such as CAB, Qnet and Commerce Queenstown and the architect. |  | Mid October – public information sessions, afternoon and evening with the architect and the arts and cultural adviser. This report will also be subject to further consultation. |
 | | | | 10 September 2003 Dear Sir or Madam, THE REMARKABLES CENTRE - POKAPU KAWARAU USER GROUP CONSULTATION The Queenstown Lakes District Council has now considered the report of the Community Centre Working Party that was forwarded to you in July. At the Council's August meeting it asked the working party to continue its involvement and prioritise the investigation of two projects - a performing and visual arts centre/community group facility and underground parking. The working party is now ready to move forward to the next stage of consultation and planning for the above. The Council is in the process of engaging a consultant advisor for the visual and performing arts facilities (including theatre and gallery design) to work with the community and the architect. This is in response to feedback received during the previous consultation period. You will find contained with this letter a draft consultation document. The working party would be grateful for any feedback or additions that your group might wish to recommend on the consultation document. Please contact project manager Ken Gousmett directly (as outlined below) with any comments on the draft. Once we have an agreed consultation document we would like to propose consultation takes place in the following format: A meeting will be scheduled between representatives of your group, members of the working party and the architect to focus on your group's needs for the proposed community centre. For your own preparation, it may be helpful for your group to be aware that it is intended each meeting will cover the following areas: * Current activities and space requirements. * Expected future needs. * Membership numbers and changes in recent years. * Particular design requirements such as equipment, storage, lighting, heating. * Opportunities for shared space and shared facilities. * Physical relationship with other user groups and other facilities. * Current and future user charges and funding sources for operational costs. * Any other matters relating to the community centre. To enable you to give us feedback on the consultation document, give us time to engage the consultant adviser and because the architect is not available in September, it is proposed the meetings with user groups take place during the period October 13-17 2003.
